CHINA VAST LOGISTICS · SHIPPING GUIDE

International buyers often purchase from several factories in China. Shipping every order separately may create repeated origin charges, multiple customs entries and difficult delivery coordination. Supplier consolidation combines those orders at one warehouse so they can be inspected, relabeled and shipped under a coordinated plan.

When consolidation makes sense

Consolidation is useful when individual orders are too small for a full container, when suppliers are located within a manageable collection area, or when the buyer wants one export shipment and one destination delivery plan. It may also support retail labeling, quality checks, kitting and carton optimization before export.

Information to collect from every supplier

  • Company name and contact person
  • Product description and purchase-order number
  • Number and type of packages
  • Gross weight, dimensions and volume
  • Expected completion date
  • Marks and labels
  • Battery, liquid, chemical, magnetic or other special properties
  • Commercial invoice and packing-list data

A practical consolidation workflow

  1. Plan the shipment: compare LCL, FCL, air and split-shipment options based on total cargo and required delivery date.
  2. Issue warehouse instructions: give every supplier the booking reference, marks, receiving address and deadline.
  3. Receive and verify: count packages, measure weight and dimensions, inspect external condition and photograph discrepancies.
  4. Perform value-added work: complete inspection, labeling, repacking, palletizing or product kitting when requested.
  5. Reconcile documents: match physical cargo with invoices, packing lists, HS classifications and export-declaration data.
  6. Load and document: follow a weight-distribution and securing plan, then record the container and seal numbers.

Risks that require active management

One late supplier can cause the entire shipment to miss cutoff. Incorrect marks can lead to mixed cargo. A factory may report product dimensions instead of packed dimensions, changing the booked volume. Undeclared batteries or liquids may be rejected by the warehouse or carrier. Products from different suppliers may also have incompatible storage or loading requirements.

How to control time and cost

Set a latest receiving date for each supplier and maintain a backup sailing. Compare the total landed logistics cost, including domestic delivery, receiving, storage, inspection, repacking, export handling and destination charges. For high-value or fragile cargo, agree on an inspection standard and photo record before the warehouse opens or modifies any package.

Documents and customs

Consolidation does not remove customs obligations. The exporter, declared values, product descriptions and tariff classifications must match the chosen export structure. Buyers should also confirm destination-country import requirements with their broker before loading.
