A pickup request is not complete until the supplier knows what to prepare, the driver knows what to collect, and your forwarder knows who can approve a change.

When an overseas buyer arranges freight from China, a vague message such as “please pick up the goods tomorrow” can create avoidable waiting, failed collection or document errors. The supplier may have several orders, the warehouse may require an appointment, and the driver may not have the correct contact or cargo reference.

This guide shows how to issue clear supplier pickup instructions for ocean, air or consolidated freight. It is a communication workflow, not a carrier-specific rule: local access, warehouse and documentation requirements should always be confirmed for the actual shipment.

1. Identify the shipment unambiguously

Put the buyer’s purchase order, supplier order reference and logistics booking reference in the subject line and body. If only part of an order is ready, list the exact cartons, SKUs or quantities being collected. Avoid using only a product nickname or the supplier’s invoice number unless every party recognizes it.

For multi-supplier consolidation, create a separate pickup record for each factory and connect all records to the master shipment. This keeps one supplier’s delay from obscuring the readiness of the others.

2. Confirm the cargo before dispatching a vehicle

Ask the supplier to confirm the final cargo information in writing:

  • Number and type of packages;
  • Gross weight and external dimensions;
  • Palletized or loose cartons, including pallet dimensions;
  • Stackable or non-stackable status;
  • Commodity description and any special handling characteristics;
  • Whether export marks, labels or documents are attached;
  • Actual cargo-ready date and earliest collection time.

A quotation or early packing list may contain estimated figures. The vehicle and consolidation plan should be based on the latest confirmed cargo. If dimensions or weight change, ask the forwarder to recheck the transport arrangement before pickup.

3. Give a complete pickup address

Chinese factory addresses may include an industrial park, building, floor, gate or warehouse entrance. Include the address in Chinese when available, even if the main instruction is in English. Add:

  • Company and warehouse name;
  • Full collection address and gate or loading area;
  • On-site contact name, mobile number and preferred communication channel;
  • Working hours, lunch break and appointment window;
  • Vehicle access, parking or loading restrictions;
  • Whether the supplier can load the vehicle and what equipment is available.

Do not assume the registered office is the loading location. Ask the supplier to confirm the actual warehouse pin or location before dispatch.

4. State who provides each document

Assign ownership rather than sending a generic document list. Depending on the agreed trade and service arrangement, documents may come from the buyer, supplier, forwarder, broker or another party. A practical instruction can show:

  • Supplier: final packing list, commercial invoice and product details;
  • Buyer: order references, consignee information and special customer requirements;
  • Forwarder: pickup reference, warehouse instructions and transport status;
  • Broker or appointed party: customs-document guidance where applicable.

Document responsibilities depend on the commercial agreement and local requirements. The checklist should reflect the actual shipment rather than treating one Incoterm as a complete operating procedure.

5. Include handover and evidence requirements

Tell the supplier how the cargo should be handed over and what records should be retained. Useful evidence may include package-condition photos, package marks, signed collection notes, vehicle details and the time the goods left the warehouse.

If seals, temperature records or special equipment are relevant, define who supplies, applies and records them. For ordinary cargo, avoid requesting data that nobody will use; keep the process proportionate to the shipment risk.

6. Create a controlled change process

Pickup plans often change because production finishes late, package counts are revised or a warehouse slot moves. The instruction should name one person authorized to approve changes and tell the supplier not to accept a different collection party without verification.

Fraud-control reminder: if bank details, delivery destination or collection identity changes unexpectedly, verify the request through a known contact and a separate communication channel before acting.

Can estimated weight and dimensions be used?

They can support early planning if clearly labeled as estimates. Before vehicle dispatch and final freight arrangements, obtain the supplier’s updated figures and report material changes.

What if the supplier cannot load the vehicle?

Tell the forwarder before dispatch so suitable labor, equipment or vehicle arrangements can be considered. Do not wait until the driver arrives to discover that the site cannot complete loading.
